Job Announcement Job Title: Records Management Coordinator Department: Finance and Operations Department Classification: Full-time, regular, non-exempt Closing Date: September 24, 2010 Job Summary / Primary Responsibility: Under general direction of the Facilities and Systems Administrator, coordinate the centralized records management program, including the receipt, storage, retrieval, and disposition of CRITFC records. Work with all departments to implement or improve filing structures. Perform other related duties as required. Essential Job Functions: Specific duties of this position include, but are not limited to: ? Complete an inventory of all centrally managed documents. Evaluate and catalog inactive departmental document sets. ? Coordinate the receipt, storage, retrieval, and disposition of centrally managed documents. ? Update and maintain policies and procedures related to the centralized storage of CRITFC documents both active and inactive. ? Assist with the identification of vital documents and the development of a disaster recovery plan for those documents. ? Ensure the effective implementation of a records retention schedule. ? Advise CRITFC staff on records management policies, procedures, and legal requirements. ? Provide training and assistance to CRITFC staff for development of effective individual filing systems. ? Participate in the development and maintenance of document management systems, both electronic and manual. ? Coordinate the maintenance of centralized records for CRITFC. ? Work with departments and staff at CRITFC to improve filing structures and processes, both physical and electronic. ? Maintain adherence to records management standards and the CRITFC document retention schedule. ? Other duties as assigned. Job Requirements / Qualifications: ? Successful completion of minimum two years of college level coursework in a directly related field; and two years of increasingly responsible record keeping experience including the maintenance of automated and manual records and files. ? Job requires some heavy lifting. Must be able to lift 50 lbs, sometimes on a regular basis. ? Demonstrated familiarity with electronic filing and document management systems. ? Knowledge of current records management practices and procedures, including federal laws related to records retention and disposition. In addition, the following qualifications are desired: ARMA certification. Digital records management certification. Supervision Received: This position reports to the Facilities and Systems Administrator. Supervision Given: This position has no supervisory responsibilities Physical Working Conditions: Frequent heavy lifting of document boxes. Must be able to lift 50 lbs and tolerate occasional dusty working conditions. Valid driver?s license and good driving record are required.
