Job Description Position Summary: Under the direct supervision of the Director, Employee/Labor Relations, the Assistant HR is responsible for providing clerical/administrative office support to Employee/ Labor Relations, FMLA and Workers' Compensation staff. Accurately maintains and processes employee information to include Leaves of Absence, and other Employee/Labor Relations information. Please submit a resume to [click on "Apply Online" button] Job Duties: Enters and maintains data in various databases & HRIS screens related to Labor Relations, Workers Compensation and FMLA. Ensures accuracy and timely entry of information. Queries information, and creates and distributes reports from the databases. Assists with creating databases to track information. Prepares and distributes correspondence and forms on behalf of director or specialists related to employment status, leaves of absence and other employee/labor relations issues (e.g. meeting minutes, follow-up notes, workplace investigations, policies and procedures). Functions as the primary back up for Specialist, Workers Compensation/LOA. Ensures adequate coverage for peak periods and time off. Provides ongoing communication with the specialist and directors (or designees) with respect to the status of employees on Leaves of Absence. Monitors the FMLA Hotline and makes follow up calls as needed. Monitors and checks Leave of Absence Report for LOA end dates. Contacts directors and/or designee for updates regarding medical extensions or other employee status changes. Mails correspondence, forms and packets. Sends notices and paperwork to employees who have not returned to work, nor provided necessary medical extensions. Distributes Lawson LOA reports to directors weekly. Opens and date stamps mail. Creates and maintains Labor Relations, Workers Compensation and FMLA electronic and hard copy files. Pulls and researches personnel files related to grievances, disciplines and other matters. Makes copies of documents as directed. Answers and responds to telephone and e-mail inquiries or directs to other staff members as required. Ensures accuracy of purchase orders and prepares requests for payment. Ensures proper inventory of department supplies. Provides coverage for front reception desk on an ad hoc basis along with other HR Assistants. Completes mandatory education and training in order to maintain organization and department specific competencies and requirements. Maintains applicable certification/licensure. Follows hospital and department policies and procedures with special attention to attendance and punctuality, confidentiality, dress code and display of ID badge, and safety.
