Human Resource Assistant (HRA)
Assists the Area Program with personnel activities, benefits, and other human resource related duties. Provides daily clerical support to the area office.
Immediate Supervisor: Area Director or Human Resources Manager
Job Duties/Area of Responsibility:
As delegated, by the Area Director or Human Resources Manager, the HRA is responsible for assisting of employee hiring and support including but not limited to:
Providing internal and external notification for vacant positions
Processes applications received and distributes them at appropriate administrative members
Obtains background checks from Iowa Department of Human Services Sex Offender Registry, Child Abuse Registry, Dependent Adult Abuse Registry and Criminal History Record. Obtains employer and personal references on applicants
Assist in the completion of initial new hire documentation and distributes to appropriate administrative members
Initiate clear and open communication with visitors, vendors, people we support, co-workers, and professionals from other agencies
Initiate or process requests to: file, type, data entry, photocopy, & processing mail
Receive visitors, answer and screen telephone calls, and prepare/take/distribute messages
Executes errands and tasks as assigned by administrative staff members
Maintains all applicable records and files accurately and confidentially; including filing documents in a consistent manner that allows for easy retrieval of filed information
Distributing, receiving, and routing various forms, reports, records, and memos while maintaining confidentiality to the appropriate persons both internally and externally
Use and maintain the installed office equipment: including but not limited to the copy machine, fax machine, multi-line phone, calculator, desktop computer, postal scale and meter
Understands all applicable policies and procedures
Assists and consults with Area Director or Human Resource Manager regarding payroll and coordinates function as outlined in policy
Assists in answering questions regarding eligibility, salaries, benefits, and other pertinent information
Examine employee files to answer inquires and provide information for personnel actions
Gather personnel records from other departments and/or employees
Process, verify, and maintain documentation relating to personnel activities such as staffing, recruitment, training, grievances, performance evaluations, and classifications
Maintains other applicable records as assigned
Provide assistance in administering employee benefit programs
With minimum supervision, exercises discretion and independent judgment to ensure assigned projects are completed
Protects the confidentiality and rights of all individuals served and all the individuals employed by the agency
Promotes a positive image of the agency and those individuals it serves
Maintains clear and open communication with applicants, recruitment and advertisement resources, consumers, co-workers, and professionals from other agencies
Follows all agencies policies and procedures
Performs other duties as required to meet the needs of Developmental Services of Iowa, Inc.
Requirements:
Human Resource Assistant (HRA)
Minimum:
Minimum qualifications are one-year experience in human resources or office support setting, must have a typing speed of 45 words per minute, a high school diploma or equivalent
Must have knowledge of Microsoft Word. Must be able to communicate effectively both verbally and in writing, adapt to a variety of tasks, attend to detail and work independently
Must possess a valid driver's license and reliable transportation
Preferred:
Desired qualifications are:
A bachelor's degree in human resources, psychology, administration, or a related field
Two years’ experience in human resource and/or personnel field
Knowledge/Skills/Abilities
A working knowledge of Human Resource functions within the field of mental health and developmental disabilities
Ability to lift a minimum of 35 lbs
Strong analytical and problem solving skills
Strong planning and plan implementations skills
Strong and efficient communication skills
Ability to establish priorities and to assist others in achieving priorities
Strong ability to identify resolve problems early and to prevent recurring problems,
Ability to establish appropriate and respectful relationships all agency employees
