Provides customer service to managers, employees, candidates and visitors to Human Resources department. Responsible for assisting the Human Resources Director and other management staff in the Human Resources Department and file room duties.
1. Answers all phone calls politely and professionally and directs calls appropriately.
2. Assist internal/external applicants with TALEO application process.
3. Fax the GIS background requests for all new hires to achieve 48 hours turnaround time.
4. Log-in corrective counselings received by managers and forward them to the director of Human Resouces for signature.
5. Schedules meetings or appointments as necessary.
6. Distributes mail daily.
7. Provide front desk coverage during meetings, trainings, breaks, etc.
8. Type correspondence and verification of employment letters for employees as needed.
9. Provides employees with information on benefits and miscellaneous Human Resources related issues.
10. Reviews new hire documentation and enters required information into Lawson after
clearance of pre-employment screening.
11. Provides assistance with pre-employment orientation, prepares badges for all new hires.
12. Process and troubleshoot ID badges for all new hires, current employees, volunteers and other contract employees/vendors.
13. Follow up with managers/directors on any missing documents that may be needed to complete the employee personnel file (ex: dept. specific checklist, licenses, job descp,etc)
14. Process employee thank you and welcome letters and obtain CEO's signature before mailing letters.
15. Prepare new hire orientation folders monthly.
16. Maintain stock of forms and advise generalist when supplies are needed, ie: forms, badge clips, stamps, etc.)
17. Files paperwork on a daily basis.
18. Inputs data into various information systems or databases as needed (Lawson).
19. Pulls terminated employee files and I-9 from "active status" and file away with terminated files.
20. Prepares birthday invitations and mails out 2 weeks prior to luncheon.
21. Performs other duties and projects as requested or required.
22. Is a self-starter; meets responsibilities without prompting.
